Where Technology is actually changing the School Experience.

Schools aren't falling behind on tech by using less of it - they're falling behind by adopting it before the foundations underneath it are solid.

The pandemic didn't just push education online for a season - it left behind a genuine shift in the technology schools use to run themselves and connect with families, and that shift has kept compounding.

Virtual tours, hybrid events, integrated enquiry systems: these started as workarounds and have become the infrastructure schools are now expected to have.

The clearest example is immersive and interactive content. 360-degree virtual tours let a family in another state or country walk a campus before ever visiting. Hybrid live-streaming turns a single school concert, open day or "family day" into something a non-attending family can still experience in real time or on demand. Interactive tools — digital campus maps, drone footage, student-led video walkthroughs — are replacing the static photo gallery as the default way a school shows itself online. None of this is a marketing trick; it's a genuine capability that didn't exist for most schools a few years ago.

AI is changing things on two fronts at once. Inside a school, it holds real promise for personalising how families and students are communicated with and supported at scale — but that promise only pays off once there's a solid content and data foundation underneath it; bolting AI onto messy systems tends to amplify the mess rather than fix it. Outside the school, AI is changing how people find information about it in the first place. A 2026 field study from the Indian School of Business and Carnegie Mellon University found that Google's AI Overviews cut organic clicks by 38% on the searches where they appeared, and pushed the zero-click search rate from 54% up to 72%. That's a real shift in how many people ever reach a school's own website — and it means the technical foundations of that website (how clearly it's structured, how well it answers a real question) now matter as much as anything written on the page.

The less visible but arguably more important shift is in the systems running underneath all of this. When enquiry forms, CRM records and follow-up communication are properly connected, a school can see — and act on — exactly where a family drops off between first interest and enrolment, instead of guessing. One US college's experience after integrating its digital advertising, email nurturing and CRM follow-up into a single connected system is a useful illustration of what's possible once the systems actually talk to each other: 210% year-on-year growth in graduate enrolments and a 47% drop in cost per lead, not from spending more, but from the technology finally working as one system instead of several disconnected ones.

The common thread across all of it: schools that are getting real value from technology right now aren't necessarily adopting the most tools — they're being deliberate about which platforms and systems actually need attention, and making sure the foundations are solid before adding the next one.

A useful place to start.

If any of this sounds familiar — a platform that's grown into a patchwork of workarounds, systems that don't talk to each other, or a genuine question about where AI fits for your school — we've put together a dedicated space for school leaders to talk it through: grade.net.au/how-we-help/industries/education.

It's built around a simple idea: bring us one live question, and we'll spend an hour on it. No pitch, no generic deck — just senior people who've done this work with schools before, helping you work out what deserves attention now, what can wait, and what might not be needed at all.

We've been doing this since 2011 and we're B Corp certified. If you're heading into 2027 planning, it's worth a look.

A clearer way forward starts with a useful conversation.

Insights Sessions for independent school leaders

Whether you’re reviewing school systems, improving the enrolment journey or working out where AI fits, it can be hard to step back from the day-to-day and see the next move clearly. Bring us one live question. We’ll spend an hour helping you make sense of it — in the context of your school, your people and your priorities.
